Order Processing Specialist

Job Responsibilities (including but not limited to):  

  • Place daily emergency orders for all Customer Service Centers (CSCs) via fax, email, online programs, or phone 

  • Assist with parts set-up sheets for manual price updates, descriptions, vendor changes, packaged quantities, etc. 

  • Follow up with vendors to confirm receipt of orders when not returned 

  • Analyze daily customer backorders to determine how to better satisfy the customer 

  • Advise and notify on excess inventory to fill daily customer backorders or stock; place stock replenishment orders 

  • Specify freight necessary to receive the parts 

  • Follow up orders to ensure on time delivery 

  • Communicate with the CSCs on a daily basis as to all order status 

  • Maintain the open order report so others in Purchasing and Parts can obtain information 

  • Update all backorder information on the purchase orders 

  • Place orders using company credit card and provide accurate information to Corporate Parts Support Manager to reconcile monthly credit card bill 

  • Place Toyota special will-call orders 

  • Learn to use vendor online ordering systems for accuracy in placing and follow-up of orders 

  • Promote ProLift Toyota Material Handling’s values, mission and purpose of “Helping People Carry the Load” to ensure we are customers’, vendors’ and associates’ “Indispensable Partner”. 

  • Promote TLM “Toyota Lean Management” Philosophy 

  • Protects organizations values by keeping information confidential and ability to handle sensitive information 

  • Perform other duties as assigned 

 

Education/Job Requirements: 

  • High School Graduate/ Prefer College degree or some college or business courses 

  • Proficient in Microsoft Office (Excel, Word & Outlook) 

  • Prefer Parts experience 

  • Excellent communication skills with internal and external customers 

  • Self-motivated to work with little or no immediate supervision 

  • Ability to work in a fast paced, high-pressure environment with interruptions 

  • Detailed oriented & able to multi-task 

 

Working Conditions and Abilities (including but not limited to): 

  • Work around exhaust fumes, gas, diesel, solvents, paint, thinners, etc- occasionally 

  • Work around noisy conditions in shop- occasionally 

  •  Push/pull/lift objects up to 20lbs. – occasionally  

  • Perform simple motor skills such as standing, walking, climbing stairs, stooping, sitting, etc.- constantly  

  • Able to perform manipulative skills such as writing, collating, typing etc. – constantly  

  • Able to sit at a desk for up to 8 hours a day 

  • See objects close and distant as in reading- constantly  

  • Read from a computer monitor - constantly  

  • The ability to work in a constant state of alertness and safe manner
