Human Resources Coordinator

Summary

The Human Resources Coordinator position is responsible for the administration, processes, Human Resources Management System (HRMS), employee services, and employment records processes.  All activities must be in compliance with Equal Employment Opportunity laws, HIPAA, ERISA and other regulations, as appropriate.  The HR Coordinator will demonstrate our core values, maintain confidentiality, collaborate, and work effectively and positively with the HR team and our internal clients. In addition, the HR Coordinator will provide administrative, clerical, and project support as needed.

 

Education and Experience

  1. Higher education (two- or four-year college degree) or an equivalent combination of education and experience.
  2. Two years of human resources experience including knowledge of HR administration, compliance, theories and discipline preferred.
  3. Experience in coordinating and organizing employee services events preferred.
  4. Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and data entry/report writing Human Resources Management System (HRMS).
  5. Demonstrated ability to work independently, handle multiple demands and continually changing priorities, effectively manage time, and exhibit results with a high level of accuracy and initiative to improve processes.
  6. Experience handling sensitive material and maintaining confidentiality.
  7. Strong customer service skills, internal and external.
  8. Excellent communication skills (written, verbal, listening) and interpersonal skills.
  9. Willing and able to travel infrequently, including overnight travel.

 

Essential Duties and Responsibilities

  1. Responsible for the administration, data entry, process, and reporting of employment-related programs and/or processes.  The incumbent may have primary responsibility, shared responsibility, and/or backup responsibilities in a variety of related areas, including:
    1. HRMS & systems administration: Files and maintains electronic files for employees, ensures completion of required documents, accurate data entry of personnel changes (e.g., hires, rehires, transfers, wage changes, and terminations) and forwards appropriate forms to Payroll/Accounting, and maintains a reference listing of stored records.  Ensures data accuracy with the HRMS. Includes scanning and posting documents.  Develops and maintains written standard operating procedures for all responsibilities.  Sets up hourly timeclock and answers questions/helps to resolve issues as needed.  Works collaboratively with all HR functions to determine analysis and reporting needs.  Responds to employment verifications.
    2. Employee services programs: Coordinates annual and/or special employee programs (e.g., Employee Appreciation, Christmas Events, Retirements, Anniversary).  Responsible for employee corporate discounts, casual day for charity, births/funerals, catered lunch program, and intranet postings. 
    3. Wellness programs: Promotes and coordinates wellness programs (biometrics, flu shots, etc.) throughout the organization.  Participates in planning and executing wellness initiatives. Prepares and analyzes participation and program results.
    4. Compliance and administration: Ensures regulatory and/or company policy requirements are met and administers or oversees the administration of: OSHA reporting, I-9’s, business cards, personnel files and security system & cards.  Supports and/or completes compliance audit process. 
  2. Provides clerical and administrative support to department.  Duties may include:
    1. Project work and/or administrative support (e.g. handbook, mass mailings, expense reconciliation, purchase orders, FMLA paperwork) and other projects as assigned.
    2. Answers overflow phone calls for the Human Resources Department, routing calls, taking and distributing messages, and assisting callers as needed.
    3. Monitors and responds to emails in the Human Resource inbox or forwards them to the appropriate Human Resource Representative.
    4. Administration of special projects as needed.

Compensation & Benefits:

* The anticipated hourly pay range for this position is between $22.50 - $27.50. Hourly pay rate offered is determined by relevant experience, education, certifications, and geographic location as compared to others doing substantially similar work . In addition to the hourly rate of pay, employees may be eligible for performance-based incentives, which can vary depending on individual and/or company performance.
