Weekend Pilot Car Coordinator
Summary
The Weekend Pilot Car Coordinator is responsible for supporting the movement of oversized loads by arranging certified 3rd party pilot car services in a timely manner, including negotiating rates and verifying final pilot car invoices. Responsible for investigating and resolving all escort-related issues that arise during pickup, transit, and/or final delivery of load. Educate and promote ATS safety expectations and procedures to pilot car drivers. Enhance and increase the regional pilot car base of Sentinel Pilot Car Services, by implementing sound marketing and customer service principles to attract and retain qualified pilot car drivers, while acting as the liaison between the pilot cars and truck drivers.
The first two months of training the hours are Monday--Friday 8:00 a.m. to 5:00 p.m. After the training period the hours are:
Thursday: 8:00 a.m. to 5:00 p.m.
Friday: 8:00 a.m. to 5:30 p.m.
Saturday: 8:00 a.m. to 5:00 p.m. (Remote)
Sunday: 8:00 a.m. to 3:30 p.m. (Remote)
Monday: 8:00 a.m. to 5:00 p.m.
Education and Experience
- Higher education (i.e. two- or four-year degree) and/or two years of general work experience or an equivalent amount of experience in a customer-driven, or transportation environment.
- Good understanding of marketing, sales, and customer service.
- Must have analytical and problem-solving skills to deal with the variety of issues that arise.
- Ability to adapt to ever-changing situations, delays, or unexpected events.
- Ability to collaborate with others and work in a team environment to meet and exceed department and company goals.
- Must have organizational and planning skills to deal with multiple projects and priorities at one time.
- Ability to work in a fast-paced environment with seasonal volume fluctuations
- Must be proficient in responding to internal and external customer situations, responding to customer needs as required.
- Proficient in Microsoft Office (Word, Excel, and Outlook) required.
- Excellent communication skills (written, listening, and verbal).
- Willing and able to travel infrequently, including overnight travel.
Essential Duties and Responsibilities
- Select and secure properly certified independent contractor pilot car drivers to escort over-dimensional loads, while negotiating rates that are in line with current market condition strategy/pricing.
- Communicate logistical information to truck drivers and pilot car drivers necessary for a high level of service to mitigate delays.
- Problem-solving and troubleshooting issues through proactive communication with internal departments (DMs, CSRs, safety, etc.) regarding any matters that may impact a load's safe, on-time delivery.
- Verify pilot car invoices for accuracy, utilizing tools to ensure accurate payment, in a timely manner.
- Address and effectively resolve safety concerns, service failures, communication issues, and pay issues when they occur.
- Conduct root-cause analysis when a failure occurs to identify solutions to eliminate problems in the future.
- Communicate safety failures to be recorded and tracked for reoccurrence and determine if retraining of pilot car drivers would be appropriate.
- Build effective working relationships built on trust and respect.
- Utilize ATS core values and effective leadership skills to constructively find and retain quality pilot car drivers.
- Lead, influence, and educate pilot car drivers on ATS safety procedures to meet and/or exceed Safety expectations to minimize accidents, moving violations, and citations.

- Complete work responsibilities outside of normal business hours via company cell phone as needed and infrequent travel may be required.
- Performs other duties and responsibilities as assigned.

Compensation & Benefits
- The anticipated base salary range for this position is $40,000 to $55,000. Base salary offered is determined by relevant experience, education, certifications, and geographic as compared to others doing substantially similar work. In addition to the base salary, employees may be eligible for performance-based incentives, which can vary depending on individual and/or company performance.
