Contractor Services Representative

Summary 

To support the Contractor Services Department by performing general clerical and administrative tasks such as processing department transfers, driver terminations, fielding driver calls and handling finance-related and operational matters.  

 

Education and Experience 

  • Associates degree in business, office administration or related field and/or a minimum of 1 years of equivalent experience in related field e.g., office administration.  

  • Must be detail-oriented and have a good understanding of administrative functions. 

  • Ability to adapt to high work volumes in a fast-paced environment by demonstrating patience, professionalism and positivity.  
  • Strong analytical skills with the ability to apply data. 

  • Strong interpersonal skills; able to establish trust and rapport with all levels of staff.  Able to relate effectively to diverse cultures. 

  • Must be detail oriented with strong organizational, analytical and decision making skills.  

  • Ability to handle confidential materials and conversations.  

  • Ability to optimize work processes using a continuous improvement type approaches. 

  • Proficient in Microsoft Office (Word, Excel, and Outlook) required. 

  • Must be a team player, amenable to a variety of work projects. 

  • Must be proficient in responding to internal and external customer situations, responding to customer needs as required.  

  • Must be able to both think creatively and provide creative contributions to projects.  

  • Must be able to demonstrate a proactive commitment to ATS corporate values and the success of all staff.  

  • Excellent communication skills (written, listening and verbal). 

  • Willing and able to travel occasionally, including overnight travel. 

Essential Duties and Responsibilities 

  • Assists in processing all Driver Administration Tasks. 

  • Assists various departments with ATS requirements for Owner vehicles, (i.e., Tractor Titles, 2290 schedule one, Tractor registration and outside lease review)  and business document requirements (i.e., LLC, INC and DBA business requirements)  

  • Enters contractors into computer system (i.e., transferring and terminating contractors and contractor drivers).  

  • Processes existing contractor paperwork (i.e., creating new and updated contracts)   

  • Assigns company equipment to Transferring drivers (i.e., ATS issued Fuel card, Transponders, and Securement equipment).  

  • Processing all Contractor Terminations (including inactivating driver and payee codes, assessing fees, sending certified mail, transferring money from various accounts, and providing final statements based on company policy).  

  • Upholds all aspects of ATS Independent Contractor Agreement while processing and closing all terminated accounts.  

  • Assists contractors with finance-related matters. 

  • Answers incoming contractor driver calls, assisting with financial advances, advancing available funds according to pre-determined guidelines and/or with supervisor’s approval after reviewing relevant information (i.e., mileage performances, out of service time, over-advanced driver, detailed account financial status, etc.), compiling information for work-ups as needed, informing drivers of codes needed to receive advances, and maintaining finance-related records.  

  • Monitors and maintains reserve books, updating records (i.e., recording advances and equipment charges), explaining reserve accounts to contractors and researching charges/credits on accounts as needed.  

  • Assists contractor drivers with specific program offerings and operational matters. 

  • Explains and handles questions regarding specific programs (i.e., National Tire purchase program)  

  • Assists drivers with operational matters, directing questions to appropriate departments as needed.  

  • Performs general clerical and administrative duties as needed (i.e., data entry, type, word processing, filing, distributing reports, answering telephones, screening/routing calls, taking/forwarding messages)  

  • Performs other duties and responsibilities as assigned. 

  • Position may require work responsibilities outside of normal business hours,

 Compensation & Benefits:

  • The anticipated hourly pay range for this position is between $21.00 - $26.00.  Hourly pay rate offered is determined by relevant experience, education, certifications, and geographic location as compared to others doing substantially similar work.  In addition to the hourly rate of pay, employees may be eligible for performance-based incentives, which can vary depending on individual and/or company performance.
