How You'll Help Us Connect the World:

The Office Coordinator performs routine to advanced clerical and administrative office duties such as answering phones, communicating with and greeting clients, receiving the public, providing customer assistance, data processing, and bookkeeping to contribute to an efficient office operation in support of management or specialized program within the Andrew Spain office.

You'll Make an Impact By:

Administrative Support:

  • Active participation in office management: daily administrative service-related matters of the Company
  • Organize and prepare meeting schedules for various departments: local events, meeting with customers…
  • Ensure meeting spaces are properly requisitioned ahead of schedule
  • Manage office equipment and supplies, and ordering new equipment and supplies as needed (IT, cafeteria services, inventory, plants…)
  • Managing external services: Cleaning service & security service management
  • Work collaboratively with other departments to help solve clerical issues
  • Offer assistance to accounting department to provide manage invoices, payments, and receipts
  • Confer with human resources department to provide assistance with payroll, personnel databases and other duties (meal voucher…)
  • Maintaining databases: Personnel administration policies and procedures.
  • Order office supplies
  • Responding to phone calls, emails
  • Working in close collaboration with the Site manager and Customer Experience managers
  • Other tasks assigned by Site manager (dot line)

Customer Experience support

  • Handle customers' accounts support depending on the regions' requirements
  • Assist the Customer service Experience Team with administrative tasks to be defined with the Customer Experience Managers (database coordination, timely production of reports…)
  • Support the business on specific projects as required

Required Qualifications for Consideration:

  • High level of English (C1 minimum) required
  • Excellent attention to detail, organizational skills
  • Excellent written and verbal communication skills
  • Ability to collaborate with different departments (HR, finance…)
  • Ability to prioritize workload to meet challenging deadlines
  • Ability to perform a wide variety of task, multitask efficiently and work under pressure
  • Enjoy working a part of team to deliver results, to learn and to share knowledge.
  • Proficiency in the use Microsoft tools – especially Excel and Outlook.
