Summary

This position of Accounts Payable Specialist is designed to maintain Accounts Payable records by performing the following duties.

Essential Duties & Responsibilities

The following are the duties associated with being an Accounts Payable Specialist.  Other duties may be assigned.

  1. Process accounts payable invoices as they are scanned daily.  Entering the required data accurately and timely into Vista and linking the invoices to their corresponding data in the Accounts payable program.
  2. Unapproved invoice queue: Maintain file on a daily basis. Research and resolve discrepancies while communicating clearly and concisely with Project Managers, Project Assistants and vendors. Update notes as needed. Clear and post invoices as they are resolved.
  3. Download invoices from vendor websites and process through AP. Make online payments when required.
  4. Scanning invoices into Document Management; including front & back and multiple page invoices.
  5. Work with co-workers and vendors with PO & invoice inquiries as requested.
  6. Cross train with other Accounts Payable/Accounts Receivable duties as required.
  7. Concur expense reporting processing.
  8. Phones – share in answering phones with other members of the team.
  9. Perform other duties as assigned.

Education/Experience

High School Diploma or GED

Language Ability

Ability to read and interpret basic documents; Ability to write basic correspondence. Ability to speak read and write English fluently.

Math Ability

Ability to add, subtract, multiply and divide in all units of measure. 

Reasoning Ability

Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form. 

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite; Spreadsheet software and other software that may be required.
