We are seeking a dedicated Database Systems Manager to help scale our ministry to new heights.

Position Summary:

The Database Systems Manager plays a critical role in ensuring the integrity, functionality, and efficiency of the organization's donor database and related systems. This individual will oversee data management, system integrations, and reporting functions, supporting the organization's mission.

This role requires a detail-oriented, self-directed professional who can effectively manage multiple tasks, implement data protocols, and troubleshoot system-related issues. The ideal candidate possesses strong problem-solving, time management, and communication skills, ensuring the organization's data systems support strategic decision-making, donor engagement & retention, and fundraising initiatives.

As a key team member, the Database Systems Manager provides organizational, administrative, and technical support, ensuring seamless operations that contribute to the overall success of the mission. This person must be comfortable collaborating with cross-functional teams while taking initiative to optimize and enhance data processes.

Key Responsibilities:

1. Database & Systems Management

  • Maintain and oversee the organization's donor database (Virtuous) and fundraising platform (Raisely), ensuring accurate, up-to-date records and full system functionality.
  • Develop and implement data integrity standards, data quality procedures, and quality control measures to ensure accuracy and consistency in database records.
  • Conduct routine database audits to identify inconsistencies, improve data accuracy, and enhance reporting reliability.
  • Serve as lead staff member in database conversions, migrations, and system enhancements, ensuring smooth transitions with minimal disruption.

2. Reporting & Data Management

  • Generate regular and ad hoc reports to track company scorecard, campaign performance, fundraising metrics, and donor engagement trends.
  • Ensure the accuracy, consistency, and integrity of all data used for decision-making, reporting, and compliance.
  • Provide customized reports and dashboards to support executive leadership, the board of directors, and campaign committees.
  • Monitor data trends, patterns, and insights, collaborating with leadership to refine strategies and optimize engagement.

3. Campaign & Fundraising Support

  • Create and manage campaign-specific records, tracking donations, pledges, donor interactions, and outreach efforts.
  • Collaborate with fundraising teams to support donor cultivation, stewardship, and engagement strategies through targeted data segmentation.
  • Provide data-driven insights to inform campaign planning, forecasting, and fundraising initiatives.

4. Donor Information & Compliance

  • Maintain strict confidentiality and security of donor and financial data, ensuring compliance with privacy laws and organizational policies.
  • Assist in the preparation of donor acknowledgments, receipts, and personalized correspondence.
  • Support donor engagement through segmentation, targeting, and personalized outreach strategies.

5. Training & User Support

  • Train staff on best practices for database use, data entry, and reporting functionalities.
  • Provide ongoing support and troubleshooting for database and CRM-related issues.
  • Stay informed on emerging trends in database management, fundraising technology, and system automation to ensure continuous improvement.

6. Technology & Systems Integration

  • Oversee system upgrades, software enhancements, and integration of database platforms with other organizational tools.
  • Ensure seamless integration between the donor database, financial systems, email marketing tools, and CRM platforms.
  • Work with vendors and IT staff to implement new functionalities, optimize system efficiency, and improve user experience.

Qualifications:

  • Bachelor's degree in Information Technology, Data Management, Nonprofit Management, or a related field (advanced degree preferred).
  • Experience in database administration and management within a nonprofit or fundraising environment.
  • Proficiency in donor management software (e.g., Virtuous, Salesforce, Raiser's Edge, or similar CRM platforms).
  • Strong analytical, problem-solving, and project management skills.
  • High degree of professionalism, integrity, and confidentiality.
  • Familiarity with fundraising principles, donor engagement strategies, and nonprofit operations.
  • Practicing Catholic preferred but not required
