Receptionist
Summary: The Receptionist/Administrative Assistant supports the administrative team as well as being the first point of contact for our company. We are looking for someone who is willing to grow within the company and learn new responsibilities within the department for the purpose of cross training and continually improving our efficiency. This position is 100% onsite, Monday-Friday 7:30am-4:30pm.
Responsibilities:
Reception
- Handle a multi-line phone system. Answer and transfer calls.
- Greet and Screen Visitors to uphold security at the reception desk.
- Maintain Visitor Key Cards and Log Sheet.
- Welcome Sign for visitors
- Maintain the front desk area as welcoming and presentable for visitors.
- Maintain a high level of confidentiality
- Remains calm under pressure
Office Supplies
- Order Office Supplies for company divisions nationwide and Canada
- Order Housekeeping Supplies
- Order Packing and Shipping Supplies
Mail & Shipping
- Prepare Certified Mail
- UPS International Shipments
- USPS, UPS & FedEx Domestic Shipments
- Setup and Maintain Users in UPS Campus Ship
Miscellaneous
- Order Company Gifts
- Order Furniture for Divisions
- Maintain Internal Contact Lists
- Office Machine Service Calls
Qualifications:
- Self-Sufficient, organized, and strong time-management skills.
- Can handle multiple distractions while managing a normal workload.
- Takes initiative especially with problem solving and project completion.
- Computer knowledge with Microsoft Office Suite is required.
- Purchasing and price negotiations are a plus.
- 2-5 years in an administrative role.
- Other duties as assigned.
