Office Manager

National veterinary company is seeking an experienced individual to provide administrative and general office support to the executive team including travel, meeting facilitation, calendar maintenance, event planning and clerical support, as well as general office operations and client interaction.

The ideal candidate for this position must be highly organized, detail-oriented, creative, have a strong work ethic, a positive/can-do attitude, and enjoy working within a small, entrepreneurial environment that is results-driven and community oriented. This position will report directly to the Chief of Staff of the veterinary group.

MAJOR DUTIES AND RESPONSIBILITIES

o Clerical support to executives

o Arrange business travel and prepare expense reports.

o Provide general administrative support including phone, calendar scheduling and correspondence.

o Provide support for the company regarding relevant communication to remote locations

GENERAL OFFICE RESPONSIBILITIES

o Building management liaison.

o Coordinate employee events.

o Maintain office common areas (kitchen, conference rooms, etc.), equipment repairs/service call support (i.e. IT, copiers, phones, etc.).

o Monitors office security and administers employee access key cards.

o General duties in support of Office: Maintain office supplies, provide mailing or courier needs, order lunches, and provide meeting and scheduling support.

o Ad-hoc projects as needed. May be required to run errands outside office frequently.

o Host guests to the office including visiting veterinarians and board members

o Reception

o Greet office visitors in a friendly and professional manner, announce visitors and ensure their comfort while waiting by offering beverages or IT set-up for meetings.

o Answer main phone line expeditiously and in a friendly and professional manner. Screen and transfer phone calls.

PHYSICAL ABILITIES

Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. May require sitting for up to 8 hours, walking, standing, bending, keying, talking, hearing, seeing and repetitive motions.

EXPERIENCE AND / OR EDUCATIONAL REQUIREMENTS

o Experience in Office management, preferably 3 - 5 years

o Computer literate in standard MS Office Suite and Adobe Creative Suite

o Ability to work independently, multi-task and prioritize deadlines.

o Excellent written, verbal, analytical and interpersonal skills.

o Self-motivated, disciplined, and flexible with ability to adapt to change.

o Notary license a plus

Pay: $ $28.85 to $30.00
