About the Role
Under the supervision of the Operations Manager, the Scheduling Lead is a vital senior staff member responsible for the efficient assignment of caregivers to the clients we serve. This role involves maintaining schedules based on caregiver skill sets, geographic locations of clients, and service plans, ensuring accurate assignments in accordance with client profiles. Success in this role requires diligence, resourcefulness, critical thinking, decision-making, and strong collaboration skills. We provide respite caregiving services through state-funded programs, catering specifically to the IDD (Intellectually and Developmentally Disabled) community, with thousands of trained caregivers known as Respite Care Providers (RCP).
What You Will Do
- Analyze RCP profiles, skill sets, geographic locations, and availability. Match appropriate RCPs with clients based on contract requirements and client care plans, coordinating closely with Service and Intake teams.
- Monitor contract fulfillment and anticipate RCP availability, ensuring smooth transitions and assignments.
- Collaborate with People Operations, Services, and Training teams to maintain an inventory of skilled RCPs and anticipate future needs based on contract volumes.
- Ensure quality service by adjusting RCP assignments when necessary.
- Report key statistics consistently, including RCP counts, deployment schedules, contract fulfillment metrics, and forecasts for deployment requirements.
- Achieve targets for utilization rates and contract service times and minimize non-reimbursable expenses.
- Complete other related tasks and team projects as assigned.
What You Need
- Bilingual/Spanish-speaking required.
- High school diploma or GED (AA or BA preferred) with 3-5 years of experience in healthcare or the caregiving industry (IDD-specific preferred) and at least 2 years of supervisory experience.
- Proficiency in Microsoft Suite and scheduling tools.
- Familiarity with basic social services terminology and HIPAA regulations.
- Strong written and verbal communication skills.
- Excellent critical reasoning and analytical skills; ability to make complex decisions.
- Self-starter with minimal supervision.
- Collaborative and team-oriented.
- Ability to work on-site.
