Key Responsibilities:

  • Enter and update purchasing data into company databases and systems with precision.
  • Assist the Purchasing Department with processing purchase orders, invoices, and other relevant documents.
  • Maintain accurate records of vendor information, purchase orders, and pricing.
  • Track and manage purchase requisitions and ensure timely processing and follow-ups.
  • Communicate with vendors and suppliers regarding order status, delivery schedules, and discrepancies.
  • Coordinate with other departments to ensure the timely and accurate flow of information related to purchases.
  • Assist with reconciling invoices, preparing reports, and resolving any discrepancies in orders or deliveries.
  • Organize and maintain physical and electronic files related to purchasing activities.
  • Provide general administrative support to the Purchasing Manager and department as needed, including scheduling meetings, answering calls, and handling correspondences.

    Qualifications:
     
  • High school diploma or equivalent; additional certifications in administration or purchasing is a plus.
  • Proven experience in data entry, administrative assistance, or a related role, preferably within a purchasing or procurement department.
  • Strong attention to detail and high degree of accuracy in data entry.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with purchasing/procurement software.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a fast-paced environment.

    Preferred Qualifications:
     
  • Experience in the construction, HVAC, or mechanical contracting industries.
  • Familiarity with procurement processes and vendor management.
