Director of Properties

A private family is hiring a Director of Properties to oversee and develop a team of property managers helping them focus on successful outcomes. The Director of Properties will assist in the establishment and implementation of organizational strategies, goals, and objectives to ensure efficient operations. This position is responsible for communicating directly with principals and coordinating actionable requests; they also report to the Head of Properties and President of the Family Office.

This role is based in Boston, MA and will require travel throughout New England and Southern Florida.

 

Responsibilities:

  • Manage a team of 3 direct reports (Property Manager and two Estate Managers) and oversee estate and property staff (Caretakers, Housekeepers, House Managers, etc.)
  • Oversee daily and ongoing work orders and projects on Asana.
  • Direct property management scheduling and resource allocation to ensure effective and efficient execution and completion of tasks.
  • Manage the property inspection process.
  • Manage and coordinate transition work between project and property team (project decommissioning).
  • Manage, update, and track property preventative maintenance requirements and schedules.
  • Maintain property databases, maintenance files, team data, SOPs, and enhance transparency and efficiency.
  • Manage vendors and all aspects of those relationships to ensure success.
  • Prepare, update, and distribute monthly reports (or as requested).
  • Act as liaison with stakeholders for all utilities and home services.
  • Prepare for and participate in monthly meetings with other teams.
  • Develop and maintain emergency plans for all properties.

 

Qualifications:

  • Minimum of 10 years’ relevant experience in a similar role
  • Bachelor’s Degree strongly preferred.
  • Ability to maintain a high level of confidentiality
  • Strong problem-solving skills
  • Extremely detail oriented
  • Proficient in Microsoft Office Suite, Asana, OneDrive and SharePoint
  • Experience in design and construction process and documents
  • Comfortable with and adept at learning new technology interfaces and software
  • Offers leadership skills while being a valuable business partner to the key stakeholders
  • Strong time management, organizational, and prioritization skills
  • Excellent interpersonal, written, and verbal communication skills
  • Positive attitude, highly motivated, self-directed with minimal daily supervision
  • Demonstrates flexibility and the ability to adapt
  • Provides feedback and coaching.
  • Helps find efficiencies at all properties and within processes.
  • Driver’s license and legal authorization required to work in the US.

 

Schedule:

Generally, Monday to Friday, business hours with flexibility to work extended hours and weekends as requested.

 

Compensation:

Base compensation of $190,000 - $220,000 offered, depending on experience.
