Duties:The enrollee shall not sign federal documents, authorize the use of federal funds, nor initiate or conduct federally funded research projects. The enrollee shall not author articles for publication as a federal employee, nor coordinate scientific research between the Government and private industry. The enrollee shall not present themselves as a Government employee or Government representative at meetings both foreign and domestic or when coordinating federal agencies? areas of research. The enrollee shall not make decisions on federally based research on behalf of Government policy makers, and the enrollee shall not supervise any Government employees. - The purpose of this position is to provide secretarial, clerical, and specialized services and assistance to the Area Administrative Office Director in the management of the Pacific West Area (PWA) Administrative & Financial Management (AFM) Team. Handles a large volume of incoming and outgoing correspondence, reports and other material concerning a program of fundamental and applied research in broad and complex fields. The incumbent determines whether correspondence should be brought to the attention of the Director, referred to appropriate Administrative or scientific personnel, or handled
personally. The incumbent replies directly to mail which does not require the supervisor?s attention. The incumbent maintains due dates and follows up on incoming email and numerous reports to ensure timely and appropriate action. Independently drafts correspondence and office reports for supervisor. After reviewing material and briefing items required for immediate or special attention, attaches pertinent background material for the supervisor to make decisions in answering correspondence. 50%
- Arranges appointments and conferences for the Director with full authority to commit their time based on knowledge of work schedules, prior commitments, interests, etc. Attends conferences, takes notes on important and often confidential matters, and drafts reports for the supervisor. 25%
- As required, prepares special reports by researching, compiling, and assembling narrative and tabular information. Edits and restates information into comprehensive reporting ensuring that all pertinent aspects are included. Ensures that final documents from handwritten, electronic, or edited copy are accurate regarding spelling, grammar, format, and adequacy of the product. Tracks due dates for information flow to and from the Director?s Office and ensures that reports and correspondence prepared in response to Agency and Area requests meet all necessary deadlines. 25%
