Executive Personal Assistant House Manager

Position Summary:

Our client is seeking a sophisticated and experienced Executive Personal Assistant and House Manager to provide elevated personal support and ensure the smooth operation of the Soho, NY, residence.

The principal travels frequently and requires a self-starter.

 

Responsibilities:

  • Provide high-level support to a company founder, managing personal, household and professional tasks with discretion and efficiency.
  • Serve as the principal's primary point of contact.
  • Oversee complex calendar scheduling, appointment setting, and sophisticated travel logistics.
  • Plan and execute social gatherings, philanthropic events, and other special occasions, liaising with vendors and ensuring flawless execution.
  • Manage all aspects of household operations, including maintenance, inventory, security, and staff supervision, ensuring the home runs smoothly and efficiently.
  • Maintain strong relationships with all stakeholders (household staff, business colleagues and partners, and external vendors) ensuring high service standards and effective communication.
  • Oversee household finances, including budgeting, invoice management, and coordination with financial advisors.
  • Conduct research and manage special projects as needed.
  • Handle sensitive information and run confidential errands with the utmost care and discretion.
  • Maintain an awareness of the executive's obligations to anticipate needs.

 

Qualifications:

  • Minimum of 8+ years of experience in assistant/household management roles with 5+ years of experience supporting a C-Suite executive or private principal.
  • Exceptional organizational and leadership skills, adept at managing multiple tasks and projects.
  • A self-starter who consistently executes at a high level.
  • Excellent written and verbal communication skills, demonstrating polish and professionalism with a wide array of external parties. 
  • Strong problem-solving skills and highly adaptable.
  • Trustworthy, reliable, discreet, able to handle last-minute requests and changing circumstances.
  • Impeccable attention to detail and high standards of cleanliness and organization.
  • Proficient in technology (MAC and PC, MS and Google Suites), including troubleshooting household systems and devices.
  • Event coordination expertise, capable of managing multiple vendors and ensuring successful events.
  • Spanish (conversational or fluent) preferred.
  • Bachelor's Degree preferred.

 

Schedule:

Generally, Monday – Friday, 9:00 am to 5:00 pm, with flexibility to work additional hours and weekend days as needed.

 

Compensation:

Base compensation of $160,000 - $185,000+ with excellent benefits offered (annual discretionary bonus, fully paid healthcare, 401(k), PTO, paid holidays, etc.). The principal is committed to offering competitive compensation for the right candidate.
