Tribal Court Operations Coordinator

Job Summary: 

Responsible for the day-to-day tasks required for the function of Tribal Court Operations, primary duties include coverage of the front office, acting as a lead clerk in all court hearings, and performing all clerking responsibilities for the Trial Court and Juvenile Court. 

Essential Functions:

  • Responsible for all front counter operations, including reception, phone, emails, notaries, and public inquiries. 
  • Performs all Lead Clerk responsibilities for the Trial Court and Juvenile Court. 
  • Prepares informational packets, forms, and notifications for the public upon request and provides direction when needed.
  • Collects all tribal fees and costs.
  • Provides support to Court Operations Supervisor to ensure policies and procedures of the Tribal Court are adhered to and carried out.
  • Responsible for the filing and entry of new cases at the front counter and maintaining all case filings that are filed electronically through the court's case management software.    
  • Responsible for the preparation, coordination, and publication of the court docket.   
  • Responsible for the set-up and break-down of the courtroom for all hearings with necessary materials and/or services for the litigants.
  • Acts as Lead Clerk for all court hearings; calls Court to Order, swears in witnesses, and enters evidentiary documents as Exhibits in the case management software.
  • Ensures the recordings and maintenance of all video and audio of all court hearings.
  • Finalizes and Issues all Orders at the direction of the Judge and Court Operations Supervisor.
  • Responsible for the accuracy and filing of all court documents. 
  • Responsible for case file management.
  • Ensures confidentiality of all court files and case/party information.
  • Responsible for the ordering of office equipment and supplies needed for the day-to-day operations of the Court.
  • Attend monthly Safety Committee meetings as a representative of Tribal Court.  Inspects property and arranges repairs and maintenance, if necessary.
  • Performs a variety of other duties as assigned by Supervisor or Manager.

Education, Experience, and Licenses:

  • Requires an AA degree or paralegal or legal assistant educational program approved through the American Bar Association and requires at least two (2) years of experience, OR equivalent combination of education, training, and experience.  
  • Possession of, or ability to obtain, a Notary Public Commission from the State of Oregon within 30 days of hire.  
  • Experience assisting people who are facing trauma, challenging life circumstances, and/or highly stressful situations.
  • Experience in the ability to resolve conflict and de-escalate situations. 

Driving Requirements:

  • This position may require driving.

Qualifications, Registrations, and Certifications:

  • Requires knowledge of general office process and procedure, legal experience and/or experience with the filing of and maintaining of documents. 
  • Requires intermediate word processing, database, and spreadsheet capabilities. 
  • Requires strong oral and written communication skills.
  • Requires the ability to work independently and/or with minimal supervision.
  • Requires strong interpersonal skills due to the high level of customer contact.
  • Must have knowledge of, or ability to acquire such knowledge of Federal, State, and Tribal confidentiality regulations.
  • Must be flexible in working extended hours from time to time to accommodate the court schedule.
  • Must be able to prioritize competing tasks simultaneously and rapidly shift from one task to another. 
  • Requires the ability to explain Tribal Court policies and procedures to internal and external individuals and/or agencies clearly and professionally.
  • Requires the ability to work and communicate effectively within a team environment. 
  • Requires the ability to apply common sense understanding to carry out instructions provided in written or oral form.  
  • Must be able to plan, organize, and lead. 
  • Must exercise judgment, discretion, and confidentiality in all sensitive matters. 
  • Knowledge of and sensitivity to Native American culture is required.

Environmental Factors and Conditions/Physical Requirements:

  • Continually requires the ability to express or receive detailed information or important instructions through oral communication.
  • Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers.  Often requires walking or moving about to accomplish tasks.
  • Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
  • Occasionally requires lifting of up to 50 pounds.
  • Supports a safe work environment by performing all duties in accordance with Tribal safety policies and procedures, and Emergency Management Plan. 
  • Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
  • May be called upon to serve as a Disaster Reservist during emergencies.
  • Local travel is occasionally required. Travel outside of the state is infrequently required.

Candidates for this position will be subject to criminal and character background checks and may be subject to fingerprinting.  Due to the sensitive nature of this position, candidates must be able to successfully pass a comprehensive background check; disqualifiers include felonies, person to person crimes, and crimes involving children.
