JOB SUMMARY

Facilitates program administration and recruitment support to ensure that the program is operating effectively, efficiently, and preparing for expansive growth.  Assists with recruitment activities to include processing job requisitions, screening, sourcing, interviewing, assessing, and referring candidates for positions; ensures program compliance to adhere to federal and state laws and perform all administrative functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES    

  • Demonstrates a high level of customer service working with internal and external clients at all levels to develop relationships to foster program growth.  Conducts regular searches in Acquire and other sourcing outlets (including professional social media and job postings sites) for qualified applicants and refers them to State Coordinators and Monitors.  Assists and seeks out new and creative ways of locating new advertisement sources to effectively target highly qualified candidates (e.g. reach out to local libraries, etc.).  Creates the communications monthly newsletter for program Enrollees and prepare Enrollee spotlights for the newsletter and website.  Processes, screens applicants, and maintains and tracks all electronic applicant files.  Prepares and maintains electronic position files.  Conducts and documents FAPIIS (SAM) search for qualified applicants for positions.  Schedules applicant interviews with agency Monitors and checks at least 2 references (if required).  Prepares electronic enrollment packets and reviews for completeness and accuracy to ensure compliance.
  • Acts as backup for Recruiter/Program Specialist(s) assigned to program.
  • Monitors life-to-date report in EMS; re-allocates agreement funding as needed; prepares the wage increase spreadsheets (follows-up with State Coordinators as needed), reviews with Program Director, and enters in EMS; enters new agreement information in EMS; creates agreement folders; and process position duplications and enrollee transfers.                                               

QUALIFICATIONS AND SKILLS

  • Demonstrated program recruitment and administration experience.
  • Ability to communicate effectively in person, by phone, and email with individuals at all levels including enrollees, Monitors, Staff with solid writing skills. 
  • Knowledge concerning personnel policy along with federal and state employment and recruiting laws and practices. 
  • Time management, organizational, and interpersonal skills. 
  • Upbeat attitude, superior customer service skills, and the ability to research and respond to personnel questions as they arise. 
  • Proficiency in Microsoft Office Suite skills and ability to easily learn to use specialized software packages.

EDUCATION AND EXPERIENCE

  • Associate's Degree
  • 5 - 7 Years

Education and experience requirements may be substituted on a year-for-year basis by relevant, demonstrated, progressive, and directly-related education/work experience. 

PHYSICAL REQUIREMENTS
