Job Summary:
The FMLA/Leave Specialist will serve as the subject matter expert on Leave of Absence including Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. The FMLA/Leave Specialist will administer leaves for Headquarter employees and oversee leaves needing specialized attention throughout the company.
Supervisory Responsibilities:
Duties/Responsibilities:
- Provides expertise to Business Units on leave requests and accommodations
- Communicate with headquarter employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave, including but not limited to FMLA leave processes, personal leave, ADA, STD, and LTD.
- Oversees the return-to-work process for employees returning from extended FMLA, workers' compensation, or other leave(s) with coordination with the Environmental Health and Safety department
- Facilitates other leave requests, which may include accommodation requests under the ADA
- Recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
- Develop and present trainings and guides to local Human Resources on leave processes and regulations
- Formulate employee communications templates and guides on leave processes
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws
- Maintains a log of complex leave cases and conducts reviews with leave vendor
- Manage relationship with leave of absence/disability vendor
- Benchmark leave benefits based on industry trends
- Point of contact for local Human Resources for leave questions
- Audit Business Units to ensure compliance with leave processes
- Coordinate with payroll for proper employee payments while on leave
- Assist with other Health & Welfare benefits in similar capacity with regulations review, audits, and material creations as needed
- Preserves confidentiality of employee medical documentation and files
- Performs other related duties as assigned.
Required Skills/Abilities:
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
- Excellent written and verbal communication skills
- Excellent analytical and problem-solving skills
- Excellent organizational skills and attention to detail
- Proficient in Microsoft Office Suite or similar software
- Ability to manage multiple projects at one time
Education and Experience:
- Bachelor's degree in Human Resources or related field required.
- Two years of human resource experience preferred.
- Completion of specialized certification or training on FMLA/leave administration a plus
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
