Event Planning Specialist

Position Summary: The Event Planning Specialist is responsible for the planning, promotion, and execution of all Loffler internal and client events. This includes small to medium-sized meetings and events (both in-person and virtual). Logistical elements include but are not limited to promotion and registration management, event location research and booking, audio visual support, food & beverage selection, transportation coordination, hotel sourcing, virtual event production and onsite support. This position is for someone who can apply their leadership, creativity, talent, can-do spirit, and hard work to bring excellence to Loffler events. This person will work cooperatively with management and senior leadership to plan and execute events and ensure they are properly positioned, supported, and delivered on time. This is a hybrid work position.

 

Essential Duties and Responsibilities:

  • Project management of small to medium sized events, with the ability to multi-task across several events seamlessly. Responsibilities include creating project plans, budget management, and virtual event production.
  • Event Coordination tasks to include all aspects of event management such as hotel rooming list, creating and managing registration reports, contracting suppliers, vendor show management and shipping logistics.
  • Work closely with Marketing Team on promotion of live and virtual events using HubSpot to build & manage registrations, create landing pages, post events to social media, craft email invites and follow up workflows, etc.
  • Work closely with marketing and subject matter experts to create compelling event agendas.
  • Commitment to seek out new technology, share best practices and grow a large range of skills to maintain versatility.
  • Excellent written and oral communication skills with the ability to work well autonomously as well as to support a larger working team.
  • Develop and maintain strong working relationships with business partners and vendors. This could include solicitation of partner sponsorship funds as well as post-event processing to ensure reimbursement of funds.
  • Ability to travel for events.
  • Lead and manage our Loffler Helping Hands committee, which is our community outreach program.  This will include the planning, coordinating, and execution of various community events and initiatives that align with our mission to give back to the community.
  • Culture — Champion for the Loffler culture at Headquarters and in the Regions. Coordinate with team members at HQ and in the Regions to continue our strong culture of recognition and helping others succeed. This may include coordinating employee celebration events.
  • Responsible for understanding, staying updated on, and abiding by the Employee Handbook as written.
  • Perform other related duties as assigned.

 

Qualifications/Requirements:

  • Minimum of two days in office
  • Valid driver's license and clean driving record required.
  • Ability to work with minimal supervision and cooperatively with shared vision with teammates.
  • Works well under pressure to achieve deadlines with successful results.
  • Proficient with Adobe Creative Suite, Microsoft Word, Excel, PowerPoint, and Outlook. Hubspot certification and Microsoft Dynamics CRM experience a plus.
  • Constructive, positive outlook and persistence to succeed while overcoming continuous obstacles.
  • Heavy keyboarding/PC use and ability to lift up to 50 pounds.

 

Education/Experience:

  • BA in Communications, Marketing, Journalism, Event Planning or other relevant major preferred.
  • 2+ years of progressive experience with meeting/event planning.

 

Supervisory Responsibilities:

This position has no supervisory responsibilities.
