Proposals Coordinator
The Proposal Coordinator supports multiple concurrent proposals for PTW Canada’s Construction division, under the guidance of the Operations Manager and will support the overall structured and standardized proposal development processes. The Proposal Coordinator participates in the researching of Request for Proposal (RFP)/Request for Quotation (RFQ) requirements and assists with the creation of the proposal directive and schedule. They are expected to directly contribute to the continuous improvement of proposal development and knowledge management processes and take a hands-on approach to proposal tasks.
Qualifications:
- Must have 5 years of Bid Coordination or Estimating experience.
- Experience in developing and managing the execution of proposals.
- Superior organizational skills.
- Ability to work in a team environment and willingness to help out wherever needed.
- Must possess superior skills working with Microsoft Word, Excel, PowerPoint and MS Project.
- Ability to start and complete multiple tasks.
- Exceptional interpersonal, facilitation, oral and written communication and presentation skills.
- Practical, “can do” approach and positive attitude to problem solving with high initiative and determination to “roll-up sleeves and get the job done”
- Demonstrated success in working in high pressure environments with minimal direction.
- Willingness to learn and accept feedback.
Duties:
- Leads in the development of proposals and participates in the overall strategy as directed by the Operations Manager.
- Works with Operations Manager and Business Development to ensure client proposal requirements are acknowledged, completed and submitted.
- Attend meetings and leads the proposal process and other contributors during proposal development.
- Extracts client forms from the RFQ documents fills in all known information.
- Compile and format the proposal documents and assists with document control.
- Distribute proposal materials and coordinate/expedite responses from internal and external members of estimating teams.
- Work directly with clients through the proposal life cycle to provide accurate on time information.
- Work with vendors to acquire pricing and proposals for various disciplines.
- Track the flow and status of all proposal documents.
- Taking and distributing meeting minutes and prepare meeting materials as needed. Maintain action register and update proposal log as required.
- Assists with reviewing client’s terms and conditions (T&C), compiling rate sheets, bid forms (technical and commercial), technical clarifications, resumes, and execution plans.
- Provide proofreading and editing as required.
- Develop and maintain templates and standards for proposal preparation materials.
- Participate in continual improvement of the proposal process.
- Adhere to the proposal process, standards and templates.
- Assist with meeting coordination and other general administrative duties as required.
