Executive Administrator

Our client, with an established single-Family Office, is seeking an Executive Administrator to support their Director of Operations in NYC.

The right candidate has outstanding administrative skills, and is exceptionally organized, incredibly discreet with a security-first mindset. The EA must demonstrate excellent written and oral communication skills and capably proofread documents for other team members.

This is an in-office role Monday-Friday, so you should live within a reasonable commute of the Flatiron district.

 

Responsibilities:

  • Work with and support the DOO to keep him and the team on track and organized.
  • Manage calendars, schedules, tasks lists, appointments, etc.
  • Liaise with team members at various residences and offices.
  • Participate in daily team calls and virtual meetings, produce and distribute minutes.
  • Travel to the family offices, residences, and other locations as required.
  • Coordinate with other staff members to ensure task completion.
  • Develop and manage key documents, manuals, NDAs, COIs, and insurance paperwork.
  • Monitor and support construction and renovation projects.
  • Represent the family with external stakeholders
  • Provide personal concierge services to the principal and family members.

 

Qualifications:

  • Highly organized and able to develop systems to keep a team on track.
  • Efficient, self-starter who can juggle multiple competing priorities.
  • Exercises impeccable discretion and judgement.
  • Anticipatory to the needs of the DOO and Principal.
  • Keen eye for detail.
  • Excellent oral and written communication skills in English.
  • The ability to lead or follow as necessary.
  • A strong appreciation of the need for cyber security is preferred.
  • A minimum of a bachelor’s degree is strongly preferred.
  • Candidates must have multiple verifiable references.

 

Schedule:

Generally, Monday through Friday, business hours, flexibility is required. To be successful in this role you should have a 24/7 support mindset.

 

Compensation:

Compensation commensurate with experience, $150,000 - $180,000 base with benefits that include an annual discretionary bonus, a generous healthcare stipend, 12 days PTO, 12 paid holidays, and 6 sick days.
