Veterinary ICU Charge Nurse Job Description 

Position Title: ICU Charge Nurse 

Department: Emergency and Critical care 

Position Reports to: Support Staff Manager 

Position Summary: 

The Veterinary ICU Charge Nurse is a customer service-focused role dedicated to ensuring accurate charge capture and accountability for all hospitalized patients. This position works closely with veterinarians and provides timely financial updates to pet owners, fostering clear communication and transparency regarding treatment costs. 

Primary Job Duties: 

  • Charge Entry and Invoice Management: 

  • Enter charges for veterinary services provided by doctors, maintaining a high standard of accuracy. 

  • Update invoices as needed to reflect changes in treatment plans or services rendered. 

  • Client Estimates and Deposits: 

  • Create and review estimates for clients prior to treatment, ensuring transparency regarding costs. 

  • Collect deposits from clients moving forward with treatment plans and hospitalization. 

  • Charge Auditing: 

  • Conduct audits of charges using software tools such as Smartflow and EzyVet to ensure accuracy and compliance. 

  • Financial Communication: 

  • Provide regular financial updates to pet owners regarding their pets' treatment plans. 

  • Collect additional deposits when treatment plans change or hospitalization duration increases. 

  • Collaboration and Support: 

  • Work closely with the veterinary team to align financial processes with patient care objectives. 

  • Assist in training staff on financial procedures and maintaining accurate records. 

 

Qualifications: 

  • Experience: At least 2 years of work experience as a veterinary professional, ideally in an emergency/specialty hospital environment. 

  • Time Management: Excellent time management skills with the ability to prioritize tasks effectively. 

  • Communication Skills: Strong written, verbal, and computer skills, with the ability to communicate complex medical concepts clearly and professionally to clients, colleagues, and doctors. 

  • Software Proficiency: Preference given to candidates with experience in ezyVet and/or Smartflow software. 

  • Animal Welfare: A genuine affection for animals and concern for their welfare. 

  • Flexibility: Ability and interest in accommodating varied work assignments and schedules. 

  • Professionalism: Ability to communicate in a professional, pleasant, respectful, and courteous manner at all times. 

  • Judgment and Appearance: Maturity, good judgment, and a professional personal appearance.

WHAT WE'RE LOOKING FOR (Essential Qualifications): 

Knowledge, Skills, and Abilities: 

  • Knowledge of veterinary hospital practices and procedures. 

  • Familiarity with medical terminology, equipment, and anesthesia procedures, as well as knowledge of generic and brand names, common uses, and side effects of drugs used in veterinary practice. 

  • Intermediate proficiency with various computer programs, including Microsoft Office Suite and Practice Management Software (PIMS). 

  • Strong written, verbal, and active listening communication skills with a customer-oriented approach. 

  • Strong analytical, critical thinking, judgment, and problem-solving skills. 

  • High attention to detail and accuracy in all tasks. 

  • Strong organizational and time management skills, capable of managing multiple priorities effectively. 

  • Ability to handle and maintain sensitive and confidential information with discretion. 

  • Ability to work independently with minimal supervision. 

 

PHYSICAL DEMANDS: 

While performing the duties of this job, the team member is regularly required to talk and hear. Specific vision abilities are required to do this job including close vision. This position requires walking and/or standing for long periods of time, bending, reaching, grasping, and repetitive motions. Must be able to lift up to 30 lbs. unassisted, 75 lbs. with assistance. The working environment may be stressful with aggressive, frightened, abused or injured pets that may bite or scratch. Must be able to work flexible hours including some holidays, evenings and weekends.
