Assistant Coordinator, Enrolment Services and Academic Records

Athabasca University's Office of the Registrar is actively recruiting for an Assistant Coordinator, Enrolment Services and Academic Records.

The Office of the Registrar  is seeking a dedicated and detail-oriented Assistant Coordinator, Enrolment Services and Academic Records. This role is crucial in ensuring the effective operation of the Enrolment Services and Academic Records area by providing staff training, interpreting policies and procedures, handling first-level appeals, and maintaining quality assurance.

Key Responsibilities:

  • Training and Development: Conduct comprehensive training for staff on policies, procedures, and unit functions. Develop and update training plans and monitor staff progress.
  • Policy Interpretation: Serve as a primary resource for interpreting enrolment policies and procedures. Address first-level appeals regarding policy exceptions.
  • Policy Maintenance: Assist in the review and development of policies, procedures, and calendar regulations. Recommend improvements to enhance unit operations.
  • Quality Assurance and Reporting: Manage unit reporting, statistics, and quality assurance initiatives.
  • Collaboration: Work closely with the other Assistant Coordinator and the Coordinator to provide updates on operations and recommend enhancements.
  • Supervision: Act as backup to the Coordinator and the other Assistant Coordinator. Supervise day-to-day unit operations in the Coordinator's absence.

The ideal candidate will have: 

  • A two-year post-secondary diploma and three years of progressively responsible post-secondary experience, or a combination of education and experience deemed acceptable to the University.
  • Experience within a Registrar's Office or other high volume processing environment is preferred. A  minimum of three years of this experience at a supervisory or trainer level is preferred.
  • Previous formal training and/or supervisory training would be an asset.
  • A working knowledge of the data entry and retrieval operations of a computerized information system.
  • The ability to develop, maintain and implement procedures, training manuals and training plans.
  • Excellent interpersonal skills, including the ability to understand, influence and serve students, colleagues and subordinates.
  • Excellent written and verbal communication skills.
  • Excellent organizational and analytical skills.
