Procurement Coordinator

Definition and Examples of Work
• Prepare purchase orders, solicit bid proposals, and review requisitions for goods.
• Purchase the highest quality merchandise at the lowest possible price and in correct amounts.
• Research and evaluate suppliers, based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history.
• Negotiate, renegotiate, and administer contracts with suppliers, vendors, and other representatives.
• Analyze price proposals, financial reports, and other data and information to determine reasonable prices.
• Maintain and review computerized or manual records of purchased items, costs, deliveries, product performance, and inventories.
• Review product specifications, maintaining a working technical knowledge of the goods or services to be purchased.
• Follow policies and procedures for bid proposals and procurement of goods and services.
• Confer with staff, users, and vendors to discuss defective or unacceptable goods or services and determine corrective action.
• Evaluate inventory levels of current stock to develop strategic purchasing programs that facilitate employee access to equipment and supplies.
• Conduct periodic inventory counts to ensure accuracy of inventory.
• Arrange the payment of duty and freight charges.
• May provide informal training on procedures and/or software systems to employees with responsibility for requisitions and purchasing.
• Monitor and follow applicable laws and regulations.
• Additional duties may be assigned as business needs require.

This position works independently and as part of a team, including providing input and problem solving with others to complete tasks. The position provides coaching and training in an informal manner. Negotiation and persuasion is used with internal and external customers and vendors. Decision making is typically done independently in alignment with organizational policies. Successful completion of job tasks impacts operating costs, internal systems and procedures, employee satisfaction, and external company image or liability.

• Primarily works in office environment while using computers and related peripherals and other office equipment.
• Occasionally visits job sites and storage facilities to assess equipment needs and performance and monitor inventory levels.


QUALIFICATION


Required Knowledge, Skills and Abilities
• Ability to negotiate effectively with both internal departments and vendors.
• Ability to develop cooperative working relationships with other departments and vendors and maintains those relationships.
• Ability to apply general rules to specific problems to produce solutions that make sense.
• Critical thinking skills.
• Effective written and verbal communication skills.
• Knowledge of Microsoft Windows or operating systems and associated computer programs and processes, including Excel and Word.
• Ability to use computers, phones, calculator, scanners, and related office equipment.


Preferred Knowledge, Skills and Abilities
• Knowledge of JD Edwards software.
• Bachelor's degree.
• Inventory management experience.


Required Education and Experience
• High school diploma or equivalent.
• Minimum three years of purchasing experience.
