Administrative Office Manager

CLASSIFICATION:             Administrative Specialist II

HOURLY PAY RANGE:      $13.10 - $19.93

SUPERVISOR:                   Executive Assistant

 

This is responsible administrative work involving varied duties concerning the program in which the employee is assigned. Primary assignment is within the Administrative Office, reporting directly to the Executive Assistant. Employees may also be assigned to perform duties in other programs.

 

DESCRIPTION OF DUTIES:

Maintain surveillance of building, grounds, and utilities and initiate appropriate action to assure proper functioning, pleasant appearance, and conservation of time, money, and energy.

Stock adequate level of supplies for Administration.

Assist with distributing office and cleaning supplies to all programs.

Maintain the Contracts Manual

Greet the public, give/obtain routine and non-technical information.

Answer the telephone, screen calls, and refer to appropriate person. Process mail.  Assist the Administrative staff with calculations and reports.

Type letters and other materials as needed.

Fill in for the Executive Assistant in their absence.       

Perform other related duties as requested by supervisor.

 

REQUIREMENTS:

Working knowledge of office practices.

Ability to work independently or with a group.

Familiarity with principles and practices of medical records.

Excellent interpersonal skills and ability to communicate in a courteous manner with all persons, both orally and in writing.

Ability to relate well to the public, in person or on the telephone, in a pleasant manner.

Basic computer skills including some word processing/basic typing skills.

Knowledge of medical billing procedures.

 

QUALIFICATIONS:

Graduation from high school or its equivalent including or supplemented by courses in secretarial business practices, typing, computer, and office equipment.

Must hold a valid driver's license and maintain a driving record that is acceptable to Carastar's insurance carrier.

Must maintain at least liability coverage on personal vehicles.

Must maintain current Red Cross First Aid/CPR and CPI certifications.
