Office Manager - Evans

The Evans office of Center for Primary care is seeking an energetic and talented manager to join this office and provide oversight of the staff and day to day processes.  We currently have five physicians at this location.  Come join us in Evans as We strive to improve the health and wellbeing of the families we serve by providing compassionate and high-quality care in a joyful setting.
 
Summary:  The Medical Office Manager provides administrative oversight of the medical clinic, including management of support staff, productivity issues, operational issues, regulatory requirements and patient and provider relations. The Office Manager is responsible for the overall smooth running of the clinic in conjunction with the Medical Director and ensuring that clinic goals and objectives are met on a daily, weekly, quarterly, and annual basis. 
  
Education: HS diploma; Associates Degree and/or Certified Medical Assistant Certification Preferred.  
   
Experience: Five (5) years + experience in Medical management as a minimum. 
  
Essential Job Functions:  
Oversees all aspects of day-to-day operations of the medical clinic to ensure compliance with regulatory requirements and departmental policies/procedures in coordination with the Medical Director. 
Partners with human resources while performing annual evaluations, quarterly incentives, and recruitment of new hires of office staff. 
Assist Center for Primary Care management team in development of policies and procedures for staff. Provides training for office staff as needed. 
Works with students from local schools when scheduled for externship hours. Completes evaluation and communicates with the program director as needed. 
Assure clinic is open and appropriately staffed during regularly scheduled hours and special events and that all facilities and equipment are available, operational, safe, and clean. 
Select, train, supervise, and monitor quality and production levels of office staff. 
Develop staff schedule, review timecards, and approve time off for office staff.  
Prepare and organize monthly staff meetings for entire office staff. 
Oversees the equipment management process to ensure that all clinical and non-clinical equipment is properly maintained and repaired as needed; ensures that all equipment-related activities are properly documented. 
Communicates effectively to the patient at his/her level of understanding. 
Always maintains patient confidentiality; adheres to HIPAA guidelines. 
Identify community marketing opportunities and engage staff in various marketing opportunities.  
Ensure smooth patient flow throughout the office by assisting in other areas when needed or as requested. 
Communicates effectively by telephone and to the patient at his/her level of understanding. 
Promotes positive public relations to patients, visitors, families, physicians, and others. Exhibits characteristics consistent with CPC values for quality, respect, teamwork, and pride. 
Physical appearance and conduct are consistent with acceptable professional ethics and CPC standards. 
 
Knowledge, Skills, and Abilities: 
Knowledge 
Knowledge of health insurance policies, guidelines- including copays, coinsurances, referrals, verification of insurances; handling patients' records discretely, updating demographic and financial information; Protecting and securing medical records. 
Knowledge and utilization of EMR, medical coding and billing relevant to practice. Oversee billing and collections portion of office; Work effectively with vendors; Manage inventory and equipment. 
Skills 
Excellent written and communication skills; Strong organizational and problem-solving skills. Must be able to think creatively and multitask. Ability to work with diverse population. 
Good time management skills. Working knowledge of EMR systems, Microsoft Office, Spreadsheet. 
May also have to schedule appointments, answer phones, and ensure office effectiveness and efficiency.

Must be able to lift at least 10 lbs. regularly; may occasionally be required to life at least 50 or more lbs. 
Sitting 15% of the time.
